Hours: Full-Time 35hr/week
Pay: $18.20/hr
Location: Remote and on-site in Waterloo, ON
Restrictions: For youth aged 15-30
Job Eligibility
This position is funded by the Canada Summer Jobs program. To be eligible for the position, applicants must:
- be between 15 and 30 years of age at the beginning of the employment period
- be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment
- have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations
*International students are not eligible. International students include anyone who is temporarily in Canada for studies and who is not a Canadian citizen, permanent resident, or person who has been granted refugee status in Canada. Youth awaiting a refugee status ruling, as well as those who hold a temporary visitor visa, youth visa or work visa are ineligible.
Description
The Administrative Assistant will assist the Company Manager and General Manager with the daily office and administrative needs of MT Space for the remainder of the 2024-25 season and in preparation for IMPACT 25 festival. They will also take the lead on projects connected to office and database organization.
Responsibilities will include:
- Assisting in preparing bank deposits
- Updating daily cashflow information to ensure records are up-to-date
- Assisting in processing invoices to be paid, and preparing invoices to be sent out for outstanding payments
- Following up with vendors and contractors
- Researching new grant opportunities
- Creating and sending thank you cards to donors
- Creating/updating sponsorship packages and lists
- Creating receipts for all donations received
- Organizing the office space and keeping an ongoing inventory of supplies
- Updating contact database
- Attending meetings and providing meeting minutes and records both internally as well as with artistic partners
- Aiding the Company Manager in managing all general emails, responding to all inquiries in a timely manner
- Filing all records appropriately
- Management of calendars for the daily office requirements, as well as those of the Artistic Director and Company Manager
- Other tasks as assigned
Requirements
This is a hybrid position. The role requires working some days in-person at our office in Waterloo.
- Experience working with Microsoft Office and Outlook an asset
- Office organization skills from previous administrative work an asset
- Experience working within non-profit organizations or the arts an asset
- Preferred level of education: post-secondary
